Information we collect

Website visitors. We don't run third-party analytics or advertising trackers on this site. If you contact us through the site, we receive whatever you send us (e.g. your name and email).

Job applicants. When you apply to an open position, we collect your name, email, phone number, resume, and answers to standard pre-offer screening questions (work authorization and visa sponsorship needs). We do not collect immigration status details, visa type, or entry dates at the application stage — that information, where relevant, is handled separately after a conditional offer, through the required federal Form I-9 process.

Team members. For people who work with us, we maintain standard employment records (contact and role information, timesheets, leave requests, and documents each person uploads to their own file) to run payroll, scheduling, and HR administration.

Banking data. Agnotix connects its own business bank account to our internal operations platform via Plaid, Inc., to track our company's cash flow and reconcile payments. This is our own operational account data, not data belonging to a customer or member of the public.

How we use information

We use the information above to run our hiring process, manage our team and payroll, operate our internal financial tracking, and respond to inquiries sent to us. We do not sell personal information, and we do not use applicant or employee data for advertising.

Data security

We apply security controls appropriate to the sensitivity of each type of data:

• All traffic to and from our platform is encrypted in transit (TLS 1.2+).
• Bank account data retrieved via Plaid — account details, balances, and transactions — is encrypted at rest (AES-256-GCM) in addition to our database provider's disk-level encryption.
• Uploaded documents (resumes, HR/employee files) are stored in private file storage, never publicly accessible, and served only after a server-side permission check.
• Internal access is role-based — each team member can only reach the systems and records their role requires — and every login requires multi-factor authentication.

Third parties we work with

We use a small number of service providers to operate our platform: Plaid (bank connectivity), Vercel (hosting and file storage), Neon (database hosting), and Anthropic and Voyage AI (to power optional internal AI assistant features). Each processes data only as needed to provide their service to us, under their own privacy and security commitments.

Data retention

If your application isn't moving forward, we keep it for 2 years from the date you applied, then delete it automatically — this exceeds the minimum record-retention period required for hiring records under U.S. law. If you're hired, your application becomes part of your employment record and is kept for the duration of employment and any legally required period after. Banking data is kept for as long as the connected account remains active for our internal tracking. You can ask us to review or delete information you've sent us at any time using the contact details below.

Depending on where you're located, you may have rights to access, correct, or request deletion of your personal information. To make a request, contact us using the information below.

Changes to this policy

We may update this policy from time to time. We'll update the effective date above when we do.
